¶ User Account and Password
This section gives an overview of user accounts and password used in relation to work and academic functions.
¶ User Account Creation
An AIIAS user account is created when:
- a new student is officially enrolled
- a new faculty joins the institution
- a new employee joins the institution
- a special function or access is requested (e.g. PAASCU, GCAS, AAA, etc.)
¶ Securing your AIIAS User Account
- a complex password must be entered for every AIIAS user account created
- a complex password is at least 8 characters long, containing alpha-numeric characters (e.g. U53rAcc0unt)
- an AIIAS user account will be disabled or deactivated when it is misused, abused or has been compromised. If this happens, send email to support@aiias.edu explaining your case; we may consider re-enabling it.
¶ Password Recovery
Although you are encouraged to remember your username and password, forgetfulness is an inevitability. In either case, you may recover your:

¶ User Access
We worked hard to implement single sign-on for AIIAS legitimate users to access the following online facilities:
- Library Catalog and Research Resources — includes access to multiple subscribed services to support your graduate and post-graduate research
- Online Campus — our Moodle eLearning space for on-campus use
- Online World — our Moodle eLearning space for AIIAS Online use
- IUTUS — the AIIAS student information system. IUTUS documentation.
- AIIAS Email via Gmail
- AIIAS Support Ticketing System
— use this facility to report an IT-related issue or request assistance
To access all of the above, use your AIIAS username and password.
¶ Collaboration and Storage
¶ Collaboration
For an education institution like AIIAS, collaboration is key to success. This holds true for students, faculty and staff. In response to this, the AITS:
- applied for and was granted by Google for AIIAS to use their flagship collaboration suite, Google Workspace (formerly Google Apps).
- you only need your AIIAS user account to use this service
- licensed with Zoom for use of Zoom Meeting without time constraint
- send email to IT Help Desk for assistance to use this service
¶ Storage
- Sharing: powered by NextCloud, this facility is hosted at the AIIAS campus server room, providing faster local file transfers and storage.
- Google Drive: this is accessible using your AIIAS account. You use this service to backup and syncronize your essential documents especially your research resources.

¶ Device Support
When able, we render device support to faculty, staff and students ranging from diagnostics to fixing issues, from handheld devices to desktop computers. However, when we deem that the serviced device is beyond our capacity, we recommend the following service centers where we also bring AIIAS-owned devices for repair:
- Techfox — they specialize in repairing multi-vendor laptops (Lenovo, Apple, etc.)
- Senco Link Technologies — they are listed as "AUTHORIZED" Apple service center in the Philippines
¶ Email and Calendar
Both email and calendar are bundled services with Google Workspace that are accessible using your AIIAS user account.
¶ Internet Access
Currently, AIIAS is serviced by three (3) Internet Service Providers (ISP). These providers are spread out to these areas:
- Faculty Houses
- Internet access is provided by PLDT via Fiber-To-The-Home (FTTH)
- IP telephony is bundled with the service
- Student and Staff Housing
- Internet access is provided by NexLogic Inc. via Fiber-To-The-Home (FTTH)

¶ Learning Spaces
In 2005, AIIAS transitioned from the proprietary and costly Blackboard 5.x to Moodle. Moodle is considered the world's most popular FOSS Learning Management System (LMS).
We are happy to share that currently, AIIAS maintains two (2) eLearning spaces that caters to:
- on-campus/blended teaching and learning via Online Campus
- off-campus/fully online teaching and learning via Online World
The AITS' role is to provide backend support making us virtually invisible. However, AIIAS Online (formerly Division of Online Learning) oversees the management and operation of these learning spaces. The department caters to both faculty and students.

¶ Live Streaming
AIIAS does live streaming for Chapel, Church Sabbath Services, webninars, forums and other events. AITS supports these events by streaming them live via:

- Facebook Live
- AIIAS Media YouTube channel
For simultaneous multiple live streaming, we make use of castr.io.
¶ Mailing Lists
AITS run and maintain the mailing list service to help keep the AIIAS community updated of what's going on (advisories, invitations, news, etc.). Moderators are assigned to manage each mailing list.
All users of this service are encouraged to follow the AIIAS mailing lists guidelines.

¶ Telephone Service
To provide this service, AITS implemented IP Telephony via Free Open Source Software (FOSS), Asterisk and FreePBX on the backend. On the frontend, we use:
- Grandstream voice gateways for SLT delivery
- OpenVox GSM gateway for cellular traffic
- Grandstream ATA
- Grandstream IP phone
- Fanvil IP phone
- Polycom IP phone
- MizuDroid - a free to use proprietary SIP client for Android
- Linphone - a free to use dual-licensed (proprietary and GPL) multi-platform SIP client
- Zoiper - a free for personal use proprietary multi-platform SIP client
¶ Printing
Although print devices are deployed specifically for departmental use, the Library through the Computer Lab and the Instructional Media Resource Center (IMRC) provide free (limited) and paid printing services. Printing fees differ between laserjet and inkjet printouts. Send email to the IMRC for details.
¶ Software
Use of software is essential to support AIIAS operations, productivity and academics; the AITS maintains licensing control and deployment. We deploy both FOSS and proprietary software on AIIAS-owned faculty and corporate computers.

Due to legal and financial constraints, we are especially very keen in its use and deployment.

- Microsoft Windows — this is pre-installed on laptops and vendor specific desktop computers but we purchase licenses for custom-built desktop computers
- Apple macOS - this is pre-installed on Mac computers

- Microsoft Office — deployment differs between faculty and staff
- Faculty - due to the institution's missionary nature, AIIAS faculty come and go, we therefore offer Office 365 since it's subscription-based
- Staff - we deploy standard education perpetual licenses

IMPORTANT
Licenses for Microsoft software deployed on AIIAS-owned staff computers are procured through Shellsoft Technology Corporation; an established Microsoft business channel in the Philippines. All other proprietary software licenses, subscriptions and services are procured through their respective business partner or representative via online retail shops.
